DocsImporting your data
Importing your data
Bring your golfers and your future bookings with you. You see a full preview before anything is saved, and any import can be undone for 7 days.
How an import works
- Export from your current system. You need a customer export and, if you want your upcoming tee times moved over, a tee sheet or reservations export for the dates ahead.
- Upload the file under Settings, Data, Import. CSV and Excel files both work.
- Check the mapping. We recognize each vendor's file by its column headings and map the columns for you. If we do not recognize it, you match the columns yourself.
- Review the preview. You see row counts, duplicates that will be merged, rows with errors, and any booking conflicts.
- Commit. Golfers appear in your golfer list and future bookings appear on your sheet.
GolfNow G1
Export two reports from G1:
- Customer export: name, email, phone, address, created date, last visit.
- Tee sheet report for a date range: date, time, player names, players, holes, rate, paid.
Bookings come in as confirmed. They are marked unpaid unless the report says they were paid.
foreUP
Use the customers export and the reservations export. Rate classes are matched by name, so a foreUP price class called Senior lands on your Senior rate class. Anything that does not match is shown in the preview for you to assign.
Lightspeed Golf (Chronogolf)
Use the customers CSV and the bookings CSV.
Club Prophet
Use the customer export and the tee sheet export. These files are often separated by pipes or tabs instead of commas. Both are handled, so upload the file as it comes out.
Any other system
Any CSV works. After upload you match each of your columns to a TeeMarshal field (first name, last name, email, phone, and so on) and continue to the preview.
What happens to your data on the way in
| Situation | What we do |
|---|---|
| Duplicate golfers | Merged into one record. We match on phone number first, then on email (upper and lower case are treated the same). |
| Future bookings | Placed on the matching tee time. If your sheet does not have that time, we create it and flag it. |
| Conflicts | If an imported booking would put a tee time over capacity, it is listed for you to resolve. Nothing is silently dropped. |
| Rows with errors | Listed in the preview with the reason, so you can fix the file or skip them. |
Marketing consent
Texting rules are strict, so we are careful here. By default, imported golfers are opted in to email only. They are opted in to marketing texts only if you confirm in the import screen that your course already has their consent to receive texts. That confirmation is recorded in the consent log with the date and the source.
Undoing an import
Every row created by an import is tagged with that import. For 7 days you can roll it back from Settings, Data, Import history, which removes exactly what the import created and returns your account to where it was.
Tips for a smooth cutover
- Import golfers first, any time. Import future bookings last, as close to your switch as you can.
- Stop taking bookings in the old system before you run the final bookings export.
- Spot check three or four upcoming tee times against your old sheet after the import.
Founding courses get migration done for them at no charge. Email support@teemarshal.com with your exports and we will run the import with you.
